How to Stop Overscheduling

Are you always a frazzled, confused mess? You may be overscheduling your day. While staying busy may make you feel like you are getting a lot done, it doesn’t mean you are being productive. You could actually be hampering your productivity by doing more than you can handle. Here’s how to reclaim your day and get your week back on track.

1. Get organized

You may get caught in the trap of overscheduling because you’re unaware of how full your plate is. Take a moment to plan your day so you can see exactly how your time is being spent. Once you start to organize your time, you’ll see where you’re running into trouble with your schedule. A to-do list or a planning app can help you stay on top of tasks. Is your presence really necessary at every team meeting? If you find that certain meetings are not relevant, see if you can sit out and work on other projects. Unnecessary meetings are one of the biggest time wasters. Research has found that employees spend up to four hours each week preparing to attend status update meetings. Middle managers spend 35% of their time attending meetings, while senior managers spend roughly 50% of their time in meetings. Most of these meetings end up being unproductive. Approximately 92% of survey respondents admitted to multitasking during their meetings.

“Life is filled with so much noise that your brain has trouble filtering out what is really important. The first vital sign to check is simple: Are you aware of what you really want from your life? Life will give you exactly what you demand, but first you must clarify your ideas in writing and create an action plan,” said time management expert and founder of Seven Minutes Inc., Allyson Lewis.

3. Stop trying to please everyone

People pleasers tend to say ‘yes’ to everything out of fear of disappointing others. This behavior is likely to lead to burnout and stress. If you’re a people pleaser, it’s time to take steps toward changing how you interact with others. Know that you don’t have to agree with everyone else’s agenda. Remember that you also have important tasks that need to get done. Your work is just as important.

“People pleasing can be taken to the extreme, where you find yourself caught up in the snowball effect of always doing things for others, while at the same time, people begin to notice your accommodating ways and begin to take advantage of you,” said communication expert Brandon Wright.
